In Absence Management we can view and record the periods when an employee will be unavailable.
For example, we can record several days of vacation or an absence of a few hours, using the types configured by our company.
We’ll go to Employees → Absence Management.
This section brings together staff absences. We shouldn’t confuse it with Settings → Employees → Absence Management, where the absence types we can select are configured.
The buttons at the top let us switch between:
Employee view: makes it easier to compare each person’s absence periods.
Monthly calendar: displays entries by date.
We’ll use the calendar controls to navigate to the period we want to view.
The colors correspond to the absence type settings; we shouldn’t automatically interpret them as approval statuses.
We can use the filters at the top:
Category: select one of the types of absence available in the filter.
Role: limits the employees shown according to their role.
If we can't find a record, we'll first check the dates and the filters applied.
From the employee view, we'll select the relevant period in the person's row.
The creation form will open.
We'll choose how to record the absence:
Hour: when it affects a specific time slot, for example, from 10:00 to 12:00.
Day: when it applies to one or more days.
This selection determines which types of absence will be available and how the duration will be displayed.
We’ll select the reason from the options configured for the company.
If the reason we need isn’t listed, we’ll review its settings under Settings → Employees → Absence management and check that it applies to absences measured in hours or days.
We’ll check that the correct person is selected.
We’ll enter the start and end dates. For an absence measured in hours, we’ll also check the start and end times for the period.
The form displays the duration in days or hours, depending on the option selected. We’ll check this value before saving.
We can add a brief clarification if needed, while avoiding sensitive personal information that isn’t essential.
Finally, we’ll click Create.
Ana will be on vacation for a set period:
We will select Day.
We will choose the configured vacation type.
We will select Ana.
We will enter the dates.
We will review the duration and click Create.
Luis will be unavailable from 10:00 to 12:00:
We'll select Hour.
We'll choose the appropriate absence type.
We'll select Luis.
We'll specify the date and time slot.
We'll check that the duration is two hours and click Create.
The names of these types are examples; they will depend on each company's configuration.
When you create an absence, StarNapp checks whether the employee has any other records that overlap with the period.
If it detects an overlap, it may display a warning that an activity already exists in that time slot.
Before continuing:
We will review the employee and the dates.
We will check the record it matches.
We will correct the data or use the additional confirmation if it is indeed appropriate to keep both.
Confirming the notice does not automatically delete or rearrange the activity that already existed.
We will select the absence in the calendar to open it.
We will review its type, employee, dates, and comment.
We will modify the necessary data.
We will click Edit.
The Hour/Day selector is available when creating the record, but not when editing it. If we need to change the mode, we will have to check whether it is appropriate to delete the record and create it again.
The calendar also supports changes by dragging. If an overlap warning appears, we will review the result before considering the change complete.
We will open the record and click Delete.
We will confirm the action when prompted.
Deleting an absence removes that record; it does not delete the employee or the absence type configured in Settings.
The option may not be available if we do not have editing permissions or if the record is locked.
The calendar can also show recorded public holidays.
These are displayed as unavailable periods and cannot be edited by dragging, unlike an individual absence.
A general public holiday should not be confused with an absence recorded for a specific person.
Absence types are configured in Settings; here we record when they apply to each employee.
We can work with absences by days or by hours.
Recording an absence is not the same as recording time worked.
We should not assume that saving an absence starts a request and approval process.
To create, modify, or delete records, we need the corresponding Employees permissions.
