In Employees → Profiles we manage employee records: their contact details, access role, professional category, and hourly cost.
From each profile, we can also view information related to their tasks, time records, documents, absences, and schedule.
We’ll go to Employees → Profiles from the side menu.
We’ll select a person to open their profile. To find them, we can search by name and use the available filters for professional category, team or location.
We’ll also find the Assets and Crew selectors.
Some options depend on the features enabled for the company and on our permissions.
We’ll click + and complete the form.
We'll enter the name we'll use to identify the employee.
We'll select the role that determines their access to StarNapp.
Roles and their permissions are configured in Settings → Employees → Permissions. Here, we assign the employee one of the available roles.
This indicates the type of work they do, for example, mechanics or electrical work.
This is not the same as the role: the role controls access to the application; the category identifies their professional activity.
The available options vary depending on the type of employee. For a crew member, use the categories for crew members.
We'll enter their contact details.
For employees who will have access to StarNapp, their email address is used to create their account and send them an invitation to access the app. We should check it before confirming.
Crew member registration works differently: you can create a record without automatically creating a login user.
Enter the internal cost of one hour of the employee's work.
Do not confuse this with the price we charge the customer.
For example, the internal cost may be €20/hour, while the labor sales rate is €45/hour.
If available, select the relevant location.
Once you have completed the details, click Accept.
When you open a profile, you can review and complete the available fields:
Photo.
Name.
Role.
Phone and email address.
Identification number.
Date of birth.
Hourly cost.
Professional categories.
Language and country.
Teams and locations, when these features are enabled.
Editable fields in the profile are saved when modified; some actions, such as changing the login email address, require additional confirmation.
Click the image area to upload or replace the employee's photo.
They allow you to associate the employee with the company's work groups and locations.
The employee teams are not the machinery teams planned in Shipyards.
When a profile has an associated user, use the option to change the email address.
The form asks for the new email address and password verification. This change affects the login credentials, not just a contact detail.
The tabs on the profile depend on the employee type and the permissions of the user viewing it. Not all tabs are always displayed.
Lets you view the employee's time records and review their activity using the available views.

Lets you view the tasks associated with the employee.
This tab is not displayed in profiles that are not associated with a user.
It brings together the documentation linked to the employee.
If there are documents with an expiry date that has passed, the tab displays an indicator showing their number.
It lets us view and manage the employee’s absences according to our permissions.
We should not confuse them with the employee’s work records: an absence represents a period when they will not be available.
It lets us set the employee’s working hours.
In the calendar, we can create time slots and modify existing ones. Setting a schedule does not mean recording that those hours have been worked.
We will open the profile and access the top menu.
We will select Delete.
We will read the notice.
We will confirm the corresponding action.
If you have time records, the confirmation button may appear as Deactivate.
Deactivation removes the access associated with the profile and makes it inactive. It also removes its planning assignments and associations with teams, locations, and categories.
Permanent deletion of the profile depends on there being no linked records that need to be retained.
Before confirming, we will review pending tasks and planning. This is not an option for temporarily hiding someone from the list.
We cannot deactivate ourselves using this option.
When a profile is inactive and has no associated user, Reactivate may appear in its menu.
We will open that option, review the details, and complete the access form.
Next, we will check the role, job category, cost, and team and location associations, as we must not assume that they have been restored automatically.
When viewing our own profile, the following options may appear:
Enable or disable two-factor authentication, depending on its availability.
Log out of all sessions.
These options apply to our account; they are not general actions for any employee.
The list has an export control for downloading employee information.
Before sharing the file, we will review its contents, as it may include personal data about the team.
Creating an employee profile and creating a user with access are not always the same thing.
The role, the job category and the hourly cost serve different purposes.
The available tabs and actions depend on the profile and our permissions.
Permissions are defined in Settings; in Profiles, we assign the corresponding role.
Before deactivating someone, we will review their pending work and schedule.
