The Crews section lets you organize who works on each vessel, what role they perform, and during which dates.
It is useful to distinguish between three concepts:
Crew: the team on a vessel. For example, “Summer Crew”.
Role: the position we need to fill, such as captain or sailor.
Assignment: the employee who will fill that position for a specific period.
Creating a crew and adding its roles does not automatically assign employees: we need to schedule them on the calendar.
We’ll go to Crews from the main menu.
We can switch between two views:
By vessel, identified by the boat icon: lets you view the organization and assignments for each vessel.
By crew member, identified by the person icon: lets you review each employee’s schedule.
You can also select a period of one month, three months, or one year and use the vessel, employee, category, or status filters.
From the vessel view, we’ll open the option to add a crew to the corresponding vessel. A side panel will appear.
We’ll check the selected vessel.
We’ll enter the name of the new crew.
We’ll click ✓ to create it.
We’ll select the roles we need and confirm each one by clicking ✓.
For example, we can create “Summer Crew” and add the roles “Captain” and “Sailor”.
The pencil lets you edit an existing crew. From its panel, you can change the name, add or remove roles, and rearrange them by dragging.
In the top menu, we'll go to Roles. Here, we can view the available roles, edit their names, or enter a new one and confirm it with ✓.
Crew roles represent positions on board. They are not access permissions for StarNapp.
In the calendar, we'll select the period in the row for the role we want to fill.
In the creation window, we'll review:
Category: the type of record; to assign a crew member, we will select the crew option.
Vessel: the boat they will work on.
Dates: the start and end of the assignment.
Crew: the team they will belong to.
Role: the position they will hold.
Employee: the person assigned.
Status: the status of the assignment.
Comment: the instructions we want to save.
We will click Create to add it to the calendar.
For example, we will assign Ana as skipper of the “Summer Crew” from July 1 to 15.
The selector displays employees configured as crew members and assigned to categories. When you select a role, it is limited to employees who have that category.
If someone is missing, we'll check their configuration in Employees.
If the employee already has another crew assignment or an absence during that period, the following message will appear:
This operator is already assigned during this time slot.
We won't be able to save from this form until the overlap is resolved.
We'll select the record in the calendar to open it.
To change its details, we'll make the adjustments and click Modify.
To remove it, we'll click Delete, when available.
The calendar also allows you to modify assignments by dragging them. After the change, we will review the dates, crew, and role.
We can start a record from the employee's calendar and select the absence category.
We will specify the available absence type, the dates, the employee, and, if applicable, a comment. Then we will click Create.
These absences are taken into account when checking whether the crew member is available for a new assignment.
By selecting a period in the vessel's row, without selecting a crew member, we can record its status during those dates.
We will enter the vessel, period, and status, along with a comment if necessary.
For example, we can indicate that a vessel will be Laid Up for a week. This record describes the vessel's status; it does not assign employees.
The Transfer option in the top menu allows you to move assignments for a period to another crew.
We will select the source crew in From.
We will choose the destination crew in To.
We will specify the affected dates.
We will click Transfer.
Before doing so, we will check the source, destination, and period, as this may affect several assignments.
We can download crew data using the export control at the top. First, we will select the period and filters we need.
Editing options depend on our permissions.
A crew can have several roles and different people assigned over time.
If we remove a role with assignments, we must review the transfer options offered by StarNapp.
The option to delete a crew is only shown when it has no records with a start date from today onward.
